As an Intake Manager, you will play a pivotal role in ensuring the smooth flow of prospective patients into
therapy. You will lead a team of dedicated Intake Representatives, guiding them through the process of handling
inbound leads, assessing patient suitability, and managing the intake pipeline. Your ability to balance sales acumen,
exceptional customer service, and meticulous data management will be critical to our success.

A day in the life:
1. Team Leadership:
• Directly manage a team of Intake Representatives, providing guidance, coaching, and performance
feedback.
• Foster a positive and collaborative work environment, promoting teamwork and professional growth.
2. Inbound Lead Management:
• Oversee the handling of all incoming inquiries, whether via phone, email, or web forms.
• Ensure timely responses to leads, addressing questions and concerns effectively.
3. Patient Qualification:
• Collaborate with Intake Representatives to assess prospective patients’ needs, ensuring alignment with
our services.
• Determine if patients meet eligibility criteria and are a good fit for our programs.
4. Pipeline Management:
• Monitor the intake pipeline, tracking leads from initial contact to assessment.
• Prioritize follow-ups based on urgency and patient readiness.
5. Sales and Conversion:
• Train Intake Representatives in effective sales techniques while maintaining empathy and sensitivity.
• Monitor and analyze intake metrics and performance indicators to identify areas for improvement and
implement strategies to optimize conversion rates.
• Collaborate with marketing and outreach teams to ensure alignment of messaging and campaigns to
attract qualified leads.
6. Data Entry and Documentation:
• Ensure accurate and thorough data entry into our systems.
• Ensure the team maintains detailed records of patient interactions, progress, and outcomes.
7. Collaboration:
• Provide regular reporting and updates to senior management on intake performance, trends, and
opportunities.
• Work closely with clinical teams, case managers, and marketing members to facilitate seamless
transitions for patients.
• Communicate patient-specific information to relevant departments.
8. Quality Assurance:
• Implement quality control measures to enhance the patient experience during the intake process.
• Collaborate with Intake Director to continuously improve workflows and streamline procedures.

• High School Diploma or Equivalent
